A complete print job brief includes: job name and client, intended use, finished trim size, quantity, number of colours (CMYK and any Pantone spot), paper or board grade and GSM, finishing requirements, required delivery date and location, regulatory requirements for packaging, and approval contact details.
A written brief creates a clear shared understanding of what is being printed, eliminating verbal misunderstandings that cause expensive reprints. It provides a legal record of what was agreed and allows different printers to quote on identical specifications, making quotes genuinely comparable.
For a folding carton quote: internal dimensions (L x W x H), carton style, quantity, board grade (SBS, FBB, duplex) and GSM, number of print colours, finishing requirements, special features (window, perforation, gluing), required delivery date, and regulatory requirements.
A complete quote for a standard commercial job should be returned within 24 hours of a complete brief. Packaging quotes with multiple SKUs may take 2-3 working days. Incomplete briefs cause delays as the printer must request missing information.
A print brief describes job requirements from the buyer's perspective — what is needed and when. A print spec is the technical document defining how the job will be produced — paper grade, screen ruling, colour standard, proofing method. The spec is typically created by the printer from the brief.
Paper quantity equals (quantity of pieces divided by pieces per sheet) multiplied by (1 plus waste percentage). Standard waste allowances: 8-10% for short runs, 5-7% for medium runs. For 5,000 A5 leaflets imposed 4-up on SRA3: 1,250 sheets plus 8% makeready equals approximately 1,350 sheets to order.
